Prime Business Solutions (“OSOS”, “us”, “we”, or “our”) operates the OSOS PMS website and mobile application (the “Service”).

OSOS is committed to protecting your privacy. We will not use or share your information with anyone except as described in this Privacy Policy. 

PMS is designed to help organizations manage assets, preventive maintenance, maintenance requests, inspections, and related operational activities efficiently and securely.

We use your Personal Information to provide and improve the PMS Service. Please note that refusal to provide Personal Information may result in our inability to offer you access to certain features of PMS, manage your user profile, or improve your experience. Unless otherwise defined in this Privacy Policy, terms used here have the same meaning as in our Terms and Conditions. 

 1. Information Collection and Use

While using our Service, we may ask you to provide certain personally identifiable information that can be used to contact or identify you. This may include, but is not limited to:

  • Institution or organization name 
  • User Role (e.g., fleet manager, driver, administrator)

PMS Functional Data Processing

We process Personal Information to support core PMS features, including:

  • Preventive and corrective maintenance tracking

  • Reports, dashboards, and operational analytics

Access to sensitive maintenance and asset data is restricted to authorized users only.

We may contact you with system alerts, service updates, and important notifications related to PMS. You may opt out of non-essential communications at any time.

3. Account Management, Deletion & Data Retention

Account Management

User accounts within the PMS Inspection mobile application are managed by the respective organization using the PMS Web system. Accounts are created, updated, and assigned by authorized administrators of the organization. End users do not independently register or manage their accounts within the mobile application.

Account Deletion

The PMS Inspection mobile application does not provide an in-app option for account deletion because user accounts are organization-controlled.
If a user wishes to delete their account, they must submit a request to their organization’s system administrator. Upon request, the administrator can permanently delete the user account through the PMS Web system.

Once deleted, the user will no longer be able to access the mobile application, and associated personal data will be removed from the system in accordance with organizational data policies.

Data Retention

User data collected through the PMS Inspection application, including inspection records, images, comments, and signatures, is retained only for operational and compliance purposes as defined by the organization.
Data is stored securely and retained only for as long as necessary to support maintenance operations, reporting, auditing, and legal obligations. Data is deleted or anonymized when it is no longer required.

Data Security

We take reasonable technical and organizational measures to protect user data from unauthorized access, alteration, or disclosure. Access to data is restricted to authorized users and administrators only.

4. Compliance with Laws

We may disclose your Personal Information if required by applicable laws, regulations, or legal processes, or to protect the rights, property, or safety of OSOS and its users.

5. Data Retention

We retain Personal Information only for as long as necessary to fulfill operational, contractual, and legal requirements. Maintenance and asset records may be retained for audit and compliance purposes.

We are committed to ensuring your information is secure. We implement technical, physical, and administrative measures to protect Personal Information against unauthorized access, modification, or disclosure. 

We ensure that login credentials, fleet systems, payment gateways, and access permissions are managed securely and are only available to authorized users to protect sensitive academic information. 

However, no online service can guarantee absolute security. We therefore cannot promise that your information will remain completely secure. 

7. International Data Transfer

Your data may be processed or stored on servers located outside your country. By using PMS, you consent to such transfers, provided appropriate safeguards are in place.

You have the right to:
